Credentials Portal ("we," "our," or "us") operates a ministerial credentialing platform for church districts. This policy describes how we collect, use, and protect information when authorized district personnel use our service.
1. Who This Applies To
Credentials Portal is provided exclusively to church districts and their authorized staff and ministers. Access is granted by a district administrator — this is not a public consumer service. If you are using this platform, your district administrator has authorized your account.
2. Information We Collect
We collect only information necessary to operate the credentialing platform:
- Account information: name, email address, and preferred language.
- Ministry profile data: assigned role(s), service start date, track progress, board memberships, and custom fields configured by your district.
- Interview records: dates, board assignments, form responses, audio recordings, and transcripts submitted through the interview process.
- Uploaded files: credential documents, certificates, transcripts, and other files you or your district uploads to your profile.
- Messages: direct messages, group messages, and broadcast messages sent within the platform.
- Usage data: login timestamps and standard server logs (IP address, browser type) used for security and diagnostics.
3. How We Use Your Information
Information is used solely to operate the credentialing platform for your district:
- Displaying and managing minister profiles, tracks, and course progress.
- Facilitating the interview and review process between ministers and board members.
- Enabling messaging between district staff and ministers.
- Sending authentication emails (sign-in codes and magic links).
- Generating reports and exports requested by district administrators.
- Syncing data to Google Sheets when a district administrator enables that feature.
We do not use your information for advertising, marketing, or any purpose unrelated to operating the platform for your district.
4. Information Sharing
We do not sell, rent, or trade personal information. Information is shared only in these limited circumstances:
- Within your district: District administrators and authorized staff can view profiles, interviews, and uploaded files for ministers in their district. This access is controlled by your district administrator.
- Google Sheets (if enabled): If a district administrator connects a Google account, district data is exported to that administrator's Google Spreadsheet. This is an opt-in feature controlled by your district.
- Infrastructure providers: We use Cloudflare to host and operate the platform. Data is processed and stored on Cloudflare's infrastructure in accordance with their privacy practices.
- Legal requirements: We may disclose information if required by law or to protect the rights and safety of our users.
5. Data Storage and Security
All data is stored on Cloudflare's infrastructure (D1 database, KV store, and R2 object storage). Cloudflare operates globally-distributed, enterprise-grade infrastructure with strong security standards.
Access to the platform requires email authentication (a 6-digit code or magic link). Authentication tokens expire after 30 days. We do not store passwords.
6. Data Retention
Data is retained for as long as your district account is active. District administrators can delete individual records, uploaded files, or bulk data at any time through the Settings page. If you would like your personal information removed, contact your district administrator or reach out to us at the address below.
7. Children's Privacy
This platform is intended for adult church district staff and ministers. We do not knowingly collect information from anyone under 18 years of age.
8. Changes to This Policy
We may update this policy as the platform evolves. If changes are material, we will update the effective date at the top of this page. Continued use of the platform after changes constitutes acceptance of the updated policy.
